Once an expense happens on a card it can be pushed to accounting. Here’s how to do it.
Note: An ERP or accounting tool needs to be connected and synced to Fyorin and configuration needs to be completed first.
Opening a pending expense
Click "Expenses" in the left-hand navigation — new card expenses land here automatically, starting out "Pending" until the required details are filled in.
Click the chevron (›) icon on a pending expense's row to open its details.
Completing missing details
A pending expense can be completed either by filling in details manually or by attaching a receipt for automatic extraction — this walkthrough follows the receipt-upload path:
Click the "Documents" tab.
Click "Add Document".
Click "Select up to 10 files or drop them here" and choose the receipt.
Click "Save" — the receipt is processed by Dext-powered OCR and the matching fields (currency, date, document number, supplier, tax, total) are filled in automatically.
Assigning the cost category
Click into the "Cost Categories" field to select or add the category that applies (it may already show a suggestion carried over from the card's configured categories).
Click "Update".
Click the close (×) icon.
Posting expense
Click the company name dropdown in the top navigation bar.
Click "Connected Apps".
Click the "Expenses" tile on the accounting tool/ERP mapping overview.
Click the "Expenses" tab (alongside General Config / Categories / Tags / Fields).
Selecting the ledger and approving
Click the edit (pencil) icon next to an expense showing "Missing Fields."
Click the "Items" tab.
Click "Edit."
Click the "Ledger" dropdown (shows "Choose Ledger") and select the option that matches the expense — the "VAT Code" and "Class" fields are typically pre-filled from your configured rules, so this is usually the only manual pick left.
Click "Save."
Click "Approve."
Click the close (×) icon.
Confirming the posted expense
Switch to the accounting tool and open the same expense to confirm the category, VAT, class, and attached receipt all carried over correctly. (Status on the Fyorin side moves from "Ready to Post" to "Completed" automatically once this happens.)
